How to Create and Edit Smart Lists?

A smart way to organize your contacts is by using Smart Lists. It enables you to customize filters to create 'lists', or categories of contacts. 

Go through this article to learn how to create, edit, and use Smart Lists.

1. How to create a Smart List?

Step 1: Create a Smart List

  • Steer to Contacts > Contacts/Smart Lists.
  • Click More Filters, then select "Add Filter" on the right side of the screen.
  • Fill out the information accordingly after choosing one or more filters from the dropdown. In the example shown, we filtered by "Tag Is" and chose the tag we wanted to search by.
    • Note: You have the freedom to use as many tags as you like. thereby, you can fully customize the experience or decide on how thoroughly you want your contacts to be filtered. You may keep it simple with a single filter - for example, any leads inactive in the last 30 days, OR leads with a particular tag. Or, you may choose to add multiple filters - for example, leads with a particular tag, AND inactive in the last 30 days, AND with a particular area code in their phone number.
  • After applying the filter(s) you wish to use, click the + icon to add this as a new Smart List.
  • Now, on the top of the contact page, you will now be able to click through all your Smart Lists as tabs.

2. How to Access, Edit, and Duplicate Smart Lists

Step 1: How to Access Your Smart Lists?

  • The default view is "All" within the Contacts section of your system, 
  • To view that tab / Smart List, click the name of a Smart List at the top, 

Step 2: How to Edit and Duplicate Your Existing Smart Lists?

  • Click an existing Smart List
  • On the right-hand side, the filters that are saved for that Smart List will appear.
  • Click the X to delete a filter.
  • Or, use the dropdown arrow to edit a filter.
  • After that, save your changes by clicking the Save icon. To save the changes as a new list, use the + icon; and the undo arrow to undo any unsaved actions you just did.

Step 3: Smart List Settings

  • Steer to Settings (top right of the Contacts page) to see a list of your Smart Lists.
  • Copy, share, edit the name, or delete a Smart List using the icons on the right.
