How to Import Contacts?

To ensure that your database retains all of your connections, uploading your contact list is very important. The most effective way to ensure your contacts are organized and contain the best data is to import a list of contacts all at once. Following this method would make running your business more efficient. 


NOTE: You won't be able to import/export contacts if you are not an Admin User for your account. The Admin User (usually the person who signed up for/set up the account) can change your User Settings in  Settings > My Staff > Team Management.

To do this, you'll require a .csv file with the contacts you want to import

1. How to prepare your .csv file?

  • You have to ensure that Row 1 of the file has all the necessary headers such as ‘first name’, ‘last name’, ‘email’, ‘phone’, ‘tag’, etc. (Refer to Headers boxed in red in the image above.)

2. Navigate to Contacts/Smart Lists option in the menu.

You can add contacts in two ways. Click “+” on the top left corner to manually create a contact. Or, select the import icon (an arrow pointing up) which will allow you to import contacts using your .csv file as discussed above. You can save immense time by uploading a list of multiple contacts at once, by choosing "Import Contacts".

NOTE: If Import or Export icons are missing, ensure that you have created a user in Team Management. If Team Management is not found in Settings, please contact Support.

After clicking "Import Contacts", follow the 5 steps in the pop-up window to ensure your list imports in the right manner.


A. Click “Select File” or drag-and-drop the list.


B. Uo need to map fields to regulate how the data is imported into the CRM fields. While Document fields are displayed on the left, CRM fields are displayed on the right. This shows what data from the spreadsheet will import into a specific field of the CRM. 


An example: The “First Name” from the spreadsheet should map into the “First Name” field in the CRM. This normally happens automatically for general fields like first name, last name, email, phone, etc. For other data like birthday, company, etc or any custom fields you may have created, the fields can be manually mapped using the drop-down in the CRM field column.


C. Do confirm that the mappings will display a sample from the first row, thereby allowing you to preview the data to ensure accuracy.


D. Select duplicate strategy through any of the three options to select from when a duplicate entry is recognized in the data import. 


Default and recommended option: Update the existing contact(s) with data from the spreadsheet being imported, but only for empty fields. 


The second and third options are to update the existing contact(s) with data from the spreadsheet being imported, overwrite the current CRM data with what is being imported; or take no action.


E. Begin to import, adding any tags (if there is a specific tag assigned to the list being imported). Click ‘Done’ and the import will begin. 


Warning: Do NOT click out of the screen while the import is going on.

3. Before checking whether the list of contacts was successfully imported, ensure that you RELOAD the Contacts page.


NOTE: All contact records must have a phone number and/or email address in order to import.
